Policies and Procedures
Cancellation Policy
To protect your allocated appointment time and our therapists we operate with a strict cancellation policy in alignment with current NDIS recommendations. Our therapists dedicate significant time and care to balancing their workload, and by safeguarding appointment times, we ensure families receive quality care and attention.
(a) Cancellations less than 2 business days notice before the time of your appointment incur a 100% cancellation fee.
(b) Failure to attend an appointment without providing prior notice incurs a 100% cancellation fee. Your provider will attempt to contact you via phone or sms after 10 minutes and conclude the session after 15 minutes.
(c) In addition, if the provider arrives at the destination of the therapy appointment (clinic, home, childcare centre, or school) and the client is not present 100% of the provider travel fee will also be charged for the missed appointment
(d) Continued late notice cancellations and/or failure to attend appointments may result in a review of service continuation.
Late Arrivals
In order to provide a fair and timely supports to all families we require clients to arrive promptly at their appointment.
(a) If you running late to a scheduled appointment it is expected you contact your therapist to let them know.
(b) If you arrive late to your appointment (up to 15 minutes), your appointment duration will be shortened from the allocated 45 minutes in order to finish at the correct time.
(c) Late arrivals beyond 15 minutes may result in a cancellation of appointment as per above policy.
(c) If you therapist is running late due to unforeseen circumstances we will contact you to let you know and appointment length will not be affected.
Payment Policy
We currently provide supports to private paying and NDIS funded clients who are self and/or plan managed. We require on the day payment for all self managed and private paying clients.
(a) we will provide you with an invoice for the supports;
(b) all invoices must be paid on the day of service;
(c) you are solely responsible for making a Payment Request to receive the funds under your NDIS Plan/NDIS Budget if applicable; and
(d) we reserve the right to reduce the Supports or stop providing the Supports to you if payment is not in accordance with this Agreement and we may refer you to a collection agency.
